Import your existing work
Bring clients, leads, projects, tasks and time in from a CSV or Excel export, and check every row before it's saved.
Import your existing work
Moving from another tool or a spreadsheet? Bring the export you already have. MonoDesk helps you match the columns and tidy things up before anything is saved.
Where to find it
Go to Settings → Data & import (under More). You’ll also find Bring an existing export on an empty Clients, Projects or Leads page and on the Time Tracking page. When you pick a board for your first project during sign-up, Import an existing project brings you here to import tasks.
Imports work in MonoDesk on the web, not in the mobile app, and you need edit access to the area you’re importing into.
What you can bring in
Under What are you bringing?, pick one:
- Clients: name, contact, website, notes, industry and location
- Leads: name, contact, website, notes, stage, source and estimated value. A lead marked won needs an existing client
- Projects: each project needs a client you already have in MonoDesk
- Tasks: each task needs a project. Projects that don’t exist yet are created for you, with To Do, Doing and Done columns
- Time entries: logged to your own account, against a project and task that already exist
Files can be CSV, TSV or Excel (.xlsx), up to 3 MB and 10,000 rows. Not sure what columns to use? Click Download optional column headers for a blank file to fill in.
1. Upload and match the columns
Drop your export onto the page, or click to browse. MonoDesk reads the file and suggests which MonoDesk field each of your columns fills. Change any that are wrong, or choose Ignore this column. Fields marked with * are required. If your Excel file has more than one sheet, pick the one you want.
Click Continue to review.
2. Edit the preview
You’ll see every row as it will be saved. Nothing is saved yet.
- Edit any cell to fix a typo or fill a gap
- Untick Keep to leave a row out
- Fill in a default project, task or duration format if MonoDesk asks for one
Click Check import. Rows with a problem show what’s wrong under the row, so you can fix them and check again. Rows that match something already in MonoDesk, or repeat another row in the file, are skipped.
3. Import
When everything checks out, the button changes to Import with the number of rows. Click it and you’ll get a count of what came in and a link to open it.
Import history
Past imports are listed under Import history on the same page. View report opens that import’s summary. Remove created records takes out what an import added, as long as it hasn’t changed since. Anything you’ve edited, or that later work depends on, stays and is listed for you to review.
Let your Co-Worker do it
Attach the export in a chat with your Co-Worker and ask it to import the file. It reads the whole file, maps the columns and shows you the counts, with a link to the same editable preview. Nothing is imported until you approve it.
The same import is available to AI tools connected through the MCP server.
