Todoist for your to-dos. MonoDesk for your clients.
Todoist is one of the best personal task lists around, and plenty of MonoDesk users keep it. Where it stops is the client side: Proposals, Invoices, time tracking and a portal. That’s what MonoDesk is for, and Zapier joins the two.

Why people add MonoDesk to Todoist
Most don’t replace Todoist. They stop asking it to be a client tool.
Clients need more than a list
In MonoDesk every project belongs to a client, with the brief, files, Proposal and Invoices alongside the tasks.
Time and billing in one place
Start a timer on the task, then bill those hours from the same project. No separate time tracker.
Clients see progress, not your list
Share a Client Portal with the plan, files and approvals, instead of inviting clients into a Todoist project.
Keep Todoist for everything else
Groceries, life admin and quick ideas can stay in Todoist. Zapier sends your scheduled MonoDesk tasks there too.
Where Todoist is better
For a personal to-do list, Todoist is excellent.
- Fast capture with natural-language dates
- Flexible recurring tasks and custom filters
- Native apps on every device, watches included
- A list for everything outside client work
Running both
About ten minutes in Zapier.
- 1 Connect both to Zapier. Turn on MonoDesk + Zapier from Settings → Integrations, and connect your Todoist account in Zapier.
- 2 Send your plan to Todoist. Use MonoDesk’s Task Scheduled trigger to add a Todoist task whenever you schedule work in the Planner.
- 3 Or send Todoist tasks in. Use a Todoist trigger with MonoDesk’s create-task action to drop a task onto a project board.
Switching from Todoist: your questions
Do I have to choose between Todoist and MonoDesk?
No. Many people keep Todoist as their personal list and run client work in MonoDesk: projects, Proposals, time tracking, Invoices and the Client Portal. Zapier connects the two.
Can MonoDesk and Todoist sync?
Through Zapier, yes. MonoDesk’s Task Scheduled trigger can add a Todoist task when you schedule work in the Planner, and a Todoist trigger can create a task on a MonoDesk project.
Does MonoDesk have a personal to-do list?
MonoDesk has a weekly Planner and recurring tasks across your client work. It isn’t built as a general life-admin list, which is where Todoist shines.
Does Todoist have time tracking?
Not natively. Todoist connects to time trackers such as Toggl and Clockify. MonoDesk tracks time on every task and bills it from the project.
How much does MonoDesk cost compared with Todoist?
MonoDesk is free during beta, and has a Free plan that stays free afterwards. Current plans are on the MonoDesk pricing page. Todoist has a free plan, then Pro for individuals and Business priced per user.
