Freelance invoice maker

Solo work means you're the accounts department too. This maker handles the boring layout so you can bill while the project is still fresh in your head.

The Tuesday-night invoice problem

You finished the deliverable on Friday. By Tuesday you're already on the next job and billing feels like admin debt. A tool that opens ready to type beats reopening a half-finished Google Doc every time.

Load the example below, swap the client name, adjust hours, export PDF. Most freelancers tell us the whole thing takes under ten minutes once they've done it once.

Example invoice ยท Studio template

Maya Chen Design

Invoice INV-0891

Denver, CO

Item Qty Rate Amount
UI design Settings + onboarding screens 18 $95 $1,710
Prototype handoff 1 $400 $400
Total $2,110

Hourly vs project billing

Hourly: one line per task or one rolled-up "Design work, 12 hrs @ $95." Project: single line with the agreed fixed fee. Mix both on one invoice if you had a fixed logo fee plus extra rush hours.

If the quote included a deposit, show it. "Less deposit received" as a note or use part-payment fields so the balance due is the only number they need to pay.

Getting paid faster

Put due date on the invoice, not in a separate email. Add PayPal or bank details on the page so they don't ask. MonoDesk can chase reminders later if you move your clients there.

Common questions

Can freelancers add PayPal?
PayPal toggle lives in payment details. The template renders a pay link next to your bank info.
What about international clients?
Switch currency in the editor. Symbols and formatting update. You still handle conversion and tax rules for your jurisdiction.
Should I invoice before or after delivery?
Deposits before, balance on delivery is standard for creative work. For small fixed tasks, invoice on delivery is fine if trust is already there.
